Your information at Samui Language School
This page explains, in plain words, what the school keeps about you when you study with us and use the student portal, why we keep it, who helps us handle it, how long we keep it, and how you can see it, correct it or have it deleted. If you are a parent or guardian, it is about your child's information too.
Who is responsible
Samui Language School Co., Ltd., 142/24-25 Moo 4, T. Maret, Koh Samui, Surat Thani 84310, Thailand, is responsible for your information (under the law, the “data controller”). To ask anything about it, message us on WhatsApp at +66 82 634 6564 or email samuilanguageschool@gmail.com.
What we keep, and why
We keep only what we need to teach you and to run your course:
- Who you are: your name, the nationality you told us, your level, which classes you are in, and your sign-in PIN. The PIN is scrambled before it is stored, so nobody at the school can read it.
- Your course: the kind of course you have, your hours, and, if you study on an education visa, its start and end dates and your report dates. Office staff also note whether your course is paid. Students never see this part.
- How to reach you: a phone number and a LINE ID, if you give them to us. Only the office sees them, not your teachers, and they are deleted with your profile.
- What you tell us about yourself on your profile, if you choose to: a nickname, your interests, your work, your goal, situations you want to be ready for, and what you find hard. All of it is optional. We use it to make your practice about your own life.
- Your work: your answers to worksheets and daily practice, your warm-ups, what you write on the class wall and in comments, and your teacher's marks and notes on your work.
- Your progress: your practice rounds, your shells (the portal's reward points), your streaks, and any portal credit you have.
- Sign-ins: which days you signed in and how many times. When you are signed in, the portal keeps one record of that sign-in for up to 14 days or until you sign out.
We keep this to teach you and to run the school: to give you your classes, materials and practice, to let your teacher see and mark your work, and to keep your course and visa records straight. The profile questions are the one thing that is up to you: leave them blank, or clear them at any time on your Profile tab.
Cookies. The portal uses two small cookies, both needed for it to work: one keeps you signed in, and one tells the sign-in screen which phone or computer is trying a PIN, so that too many wrong guesses lock that device and not your account. Neither is used for advertising. The website sets no cookies of its own.
The AI practice
Some of your practice is written by an AI made by Anthropic. When it writes your practice, or gives feedback on something you wrote, it is sent: your first name (or the nickname you chose), your level, the profile answers listed above if you gave them, and the piece of writing or the answer it is responding to.
It is not sent your surname, your nationality, your visa dates, your payments, your phone number or LINE ID, or your PIN. Under Anthropic's commercial terms it does not use what we send to train its AI. If you would rather the AI knew less about you, leave your profile blank: the practice still works, it is just less personal.
Who helps us handle it, and where
We do not sell your information or share it for advertising. These companies handle it for us, only to run the school's website and portal:
Some of these are outside Thailand and the EU. We use them under their standard business terms for handling customers' data, which are meant to protect it to the standard Thai and EU law expect.
How long we keep it
- While you study with us, we keep everything above.
- After your last class, we delete your portal account and your work within one year, unless Thai law requires us to keep a record for longer. You can ask us to delete it sooner (below).
- Payments and receipts are business records: we keep them for 5 years after your last class, even if your portal account is deleted sooner.
- When something is deleted, it can stay in the encrypted nightly copy for up to 3 more days, until the last copy that holds it expires. Nobody uses those copies except to repair the portal if something goes wrong.
Your rights
Thailand's Personal Data Protection Act (PDPA) protects you, and if you are in the European Union, so does the EU's GDPR. Under both, you can ask us to:
- See what we keep about you, and have a copy of it.
- Correct anything that is wrong.
- Delete your information.
- Stop or limit how we use it, or object to a use.
- Take back anything you chose to give us, like your profile answers, at any time.
You can also complain to the regulator: in Thailand, the Personal Data Protection Committee (PDPC); in the EU, the data protection authority of your country. We would be grateful if you talked to us first, so we can put it right.
How to ask
Message us on WhatsApp at +66 82 634 6564 or email samuilanguageschool@gmail.com, and say what you would like: a copy, a correction or a deletion. We may ask you a question to check it is really you. We will answer within 30 days, and it is free. A parent or guardian can ask on behalf of a child.
If this page changes
If we change how we use your information, we will update this page and the date at the top, and tell you in the portal if the change matters to you.
